Thinking further, I am inclined to make the response and not go back to ask for the request
to be rescoped. This is because we don't col ect the information he has asked - mileage for
self-drives and mileage per individual Minister for VIPT jobs either by month or year.
For external reporting, we provide:
- chauffeur-drive services provided leading to no sustained complaints (DIA Annual report)
against number of jobs
- total vehicle fleet (DIA Annual report)
In quarterly Ministers' expenses reporting on our website, we however report on surface
travel expenses of Ministers, spouses and staff, where relevant, of their use of VIPT/Crown
vehicles, taxis, parking fees and mileage claims. This is however a single figure for the
quarter, includes al categories of users and types of expenses.
I can tel the requestor that that's the information we have and invite him to rescope his
request. He may then request for a breakdown of quarterly Minister's surface travel
expenses data specific to mileage and Ministers only by individual months or year total. The
alternative is to refuse the request on the ground that we don't have the data requested and
provide the information that we have. He could then come back with a revised request or
not.
What are your thoughts?

The timeframe for getting mileages will depend on what they exactly need. Is it possible to
please ask them to clarify?
We don’t track mileages for Ministerial self-drives, in the past we were able to as they were
required to enter their current mileage when refuelling the vehicles. Now that most are EV
and don’t require fuel we don’t have the ability to track mileage.
This being the case the timeframe may be quick as the information is unavailable unless it is
a PHEV and the driver does enter a mileage reading when refuel ing, which most of the time
they either don’t or enter and incorrect mileage.
The CR fleet we do track mileage that will take approx 1 day to compile if needed.

My thoughts too, 9(2)(a) , that he started with asking about self-drive then went on to ask
about chauffered rides. I guess it comes down to what is the meaning of "allocated"
intended by the requestor.
Once I hear back from 9(2)(a) re estimated timeframe to pull the data for all vehicle travel
and self-drive, I will go back to clarify the scope of the request with 9(2)(a)

It sounds like he is asking for mileage re: vehicles allocated to a Minister, which would be
their self-drive but then goes on to talk about chauffeurs.
I'm not sure whether you should go back and clarify with him or not.

Please advise the kilometres driven in 2021 on each of the assigned vehicle provided to each
Minister that is funded by the taxpayers, regardless of whether a chauffeur is allocated or
not, and regardless of whether the Minister is inside or outside Cabinet.
If possible, please break down the mileage by calendar month. If not, an annual total for
each Minister suffices.
