I refer to your official information requests dated 23 June 2023 for correspondence to and from
Deputy Mayor Vivienne Hoeta, Councillor Lyn Neeson and Councillor Janelle Hinch.
Please
confirm
that
our
understanding
of
your
request
is
correct
by
emailing

we receive your confirmation that we have correctly understood your request.
You requested information for all correspondence to and from Councillor Lyn Neeson, Councillor
Janelle Hinch and Deputy Mayor Vivienne Hoeta including, but not limited to, emails, texts, phone
logs and calendar references to or with:
• RSSA
• RSSA campaign members
• RAL DOCA
• Pure Turoa
• Whakapapa Holdings Ltd
• Richard Neeson (only for Cr Neeson)
• Emergency Council meeting of June 19
• Council's position on RAL liquidation
• Elected members update for Council meeting June 21
However, clarification is required for the following information please:
• RSSA campaign members: as currently framed, there is difficulty involved in meeting the
request as the RSSA campaign members are numerous and not listed on any particular
register per se. Please can you clarify if you wish to amend the request to “references to or
with specific RSSA campaign members”? If so, please can you confirm the specific RSSA
campaign members?

• RAL DOCA: please can you clarify that the request is for “references to or with the DOCA
proposed by RSSA”?
• Conflicts of Interest: correspondence references to Conflicts of Interest are a broad request
as this is a topic is communicated within the distribution of every Council and Community
Board Agenda; Councillors Neeson and Hinch are appointed members of Community
Boards. Please can you clarify if you wish to amend the request to “references to Conflicts of
Interest in direct relation to the Emergency Council Meeting June 19, 2023”?
• Elected members update for Council meeting June 21: as currently framed, there is difficulty
involved in meeting the request as the item on the agenda at the June 21, 2023 Council
Meeting allows for Elected Members to provide verbal updates on the day. Please can you
clarify if you wish to either amend the search terms, or withdraw the request?
It appears likely that your original request will need to be clarified or amended to enable us to
respond. Please note, any clarification or amendment of a request is considered to be a new request
for the purpose of calculating the maximum statutory timeframe for response—see section 13(7) of
the LGOIMA.
