I refer to your information request dated 25 March 2024 made under the Official Information Act 1982
(the Act). You have requested:
“I would like to request the agendas and minutes from the University of Otago Senate from 1st
January 2023 to 31st December 2023.”
The University has assessed and decided to grant your request and will provide you the requested
information. However, due to the number of meetings within scope of your request, it is taking some
time for us to collate and prepare the information. We will send you the information as soon as it is
ready and without undue delay.
We have also decided that some of the information requested may be redacted or withheld under the
following sections of the Act:
• 9(2)(a) – to protect the privacy of natural persons.
• 9(2)(b)(ii) – to protect information where the making available of the information would be
likely unreasonably to prejudice the commercial position of the person who supplied or who is
the subject of the information.
• 9(2)(g)(i) – to maintain the effective conduct of public affairs through the free and frank
expression of opinions by or between University staff.
• 9(2)(h) – to maintain legal professional privilege.
• 9(2)(i) – to enable the University to carry out, without prejudice or disadvantage, commercial
activities.
In the above cases, we do not consider that the withholding of this information is outweighed by
public interest considerations in making the information available.
If you are not satisfied with our response to your information request, section 28(3) of the Act
provides you with the right to ask an Ombudsman to investigate and review this response. However,
we would welcome the opportunity to discuss any concerns with you first.
