On 27 March 2024, you requested the following information, under the Local
Government Official Information and Meetings Act 1987 (LGOIMA):

 

Please supply a copy of the email retention policy used by the
organisation.

 

Staff have confirmed that we have technical controls in place for the
retention of emails in Microsoft 365. This is set up to retain all emails
within outlook for 30 years. Teams Documents and Chat records are kept for
3 years.

 

The policy pertaining to retention of records (including email) is
attached but please note that this is currently in the process of being
reviewed.

 

Our Information and Records Management Team Leader is almost done with the
first draft of a revised Record Management policy and that will then
circulate to Information Management, Cybersecurity, & our Legal teams
before putting it out for feedback to the wider business. Until that
process is completed, the attached document remains the current policy in
practice.

 

You have the right to ask the Ombudsman to investigate and review our
decision. Complaints can be sent by email to

Publication of responses to LGOIMA requests

Please note: our LGOIMA responses may be published on the Christchurch
City Council website a month after they have been responded to, with
requesters’ personal details withheld. If you have any concerns about
