Dear Hawke's Bay Regional Council,
Could you please provide, in table form (.csv or .xls or .xlsx), a detailed breakdown for the mayor and all councillors, per meeting, of:
- councillors in attendance
- apologies
- late arrivals (and what constitutes that), and
- early departures (and what constitutes that) for all council meetings for the 2013 triennium, to date?
Further, could that table contain data on which meetings were considered mandatory for councillors, and which were considered optional?

Good afternoon Aimee,
Please find the information you requested (dated 5 July – appended
following) about HBRC Councillor attendance at meetings over the period of
the 2013-16 Triennium to date - attached.
Please be advised: HBRC meeting attendance is recorded in a spreadsheet
for each financial year, per meeting not per Councillor, with the results
per councillor calculated manually at the end of the period (as attached).
The spreadsheet only records attendance for ‘mandatory’ meetings, so HBRC
does not keep a record of attendance at ‘optional’ fieldtrips, workshops
and the like.
Please also note that workshops are not public meetings and as such are
not minuted, however absences are recorded in the spreadsheet if the
workshop is ‘mandatory’.
The Minutes of Meetings are the record of:
- date and time and body (i.e. Council or Committee) meeting
- councillors/members in attendance
- apologies
- late arrivals and early departures
All minutes are a matter of public record and available for further
research on the HBRC website,
