Dear Christchurch City Council,
In the Ombudsman's 2019 report on LGOIMA compliance and practice at the Christchurch City Council a recommendation was made to record the minutes of council workshops and briefings. The Council adopted an action point of taking minutes where considered appropriate. I would like to know:
1. How many workshops or briefings have been minuted under this action point?
2. What were the topics discussed in these workshops or briefings?
3. What is the procedure or process for determining whether it is necessary or appropriate to take minutes of these workshops or briefings?
4. Why were the workshops or briefings where the 2021 representation review was addressed not minuted?

This is a follow-up message in case my request made on April 14 2021 "Total number of minuted briefings" has fallen through the cracks - I'm just sending this as I haven't had an acknowledgement of the request being received as seems to be the practice. Can you please confirm that it has been received?

Dear Finn,
I refer to your request from 14 April.
The Council has responded to these below:
In the Ombudsman's 2019 report on LGOIMA compliance and practice at the
Christchurch City Council a recommendation was made to record the minutes
of council workshops and briefings. The Council adopted an action point of
taking minutes where considered appropriate. I would like to know:
1. How many workshops or briefings have been minuted under this action
point? See the most recent number of briefings released (including
attendance) up to 11 March. This will be updated on a quarterly basis -

2. What were the topics discussed in these workshops or briefings? We are
currently compiling this information and will publish it on the Council
website by the end of May. We will then update this on a quarterly basis
along with attendance.
3. What is the procedure or process for determining whether it is
necessary or appropriate to take minutes of these workshops or briefings?
Briefings are non-decision making meetings and therefore formal minutes
are not taken. Staff may capture actions or matters that need following up
as required. This does not often capture discussion or feedback.
Attendance is recorded and published on a quarterly basis.
4. Why were the workshops or briefings where the 2021 representation
review was addressed not minuted?
As above - these sessions were discussions and minutes were not taken.
