Dear Auckland Council,
I want all communications, reports, notes, agendas, meeting attendance lists, minutes, advice and decision documents relating to the Speak Up for Women event planned for Ellen Melville Centre and or Pioneer Women's Hall. These should include any made, sent, received, or commissioned by council staff and/or councillors.
For the avoidance of doubt, this should also include but not be limited to notes of all phone calls, meetings, any text messages, emails, instant messages, notes in note books or any other medium or form, and phone logs.
It can exclude form responses such as automated emails.

Dear Terry
Thank you for your request for information dated 21 June 2021.
I am writing to ask you to refine your request as it is too large to
respond to it in its current form.
We have carried out an email search using the terms:
“Speak Up for Women” AND “Ellen Melville Centre” OR “Pioneer Women’s
Hall”.
We searched the date range of 29 May 2021 to the date of your request.
There were over 430 emails. We cannot process this number of emails
without it having an adverse impact on our ability to carry out our other
functions. It is likely that this correspondence will contain personal
information about customers, so we would need to review and redact each
email and its attachments very carefully, which is a time-consuming
process. Our search tool could pick up duplicate emails in chains but we
would still need to review each of the new emails in the chain.
Please could you let me know how we could refine this search to reduce the
administrative burden, but still provide you with the information you
require.
Perhaps you could provide more specific information on what you are
interested in, or provide other key words to search and we can refine our
search accordingly.
I would be grateful if you could respond to me by Monday 5 July, with your
suggestions to refine our search.

Dear Official Information,
Hello Samantha. Thank you for your response. I'm interested in any information that led to the decision by council to cancel the original event. So primarily information within council and between and from councillors commenting on the appropriateness of the event, assessing the meeting, the venue and options available to council and how council reached the decision to cancel. Also any communication on this subject specifically to and from any "rainbow" group within council.
For clarity, I'm not interested in private correspondence from outside council unless a specific piece was an important factor in the decision making, and I don't need private information.
I don't need pro forma/ auto responses etc either.

I believe your response is entirely inadequate and against the principles of the act. I have received responses to very similar questions from Christchurch City Council and Palmerston North City Council, yet you, the largest local government in NZ find it is too hard. I suggest you have another think.
