Communications regarding protest
John Miller made this Official Information request to University of Otago
The request was partially successful.
From: John Miller
Dear University of Otago,
I request under the Official Information Act (OIA) the following information: all communications (such as emails, letters) held by the University of Otago relating to the protest that occurred on the 1st of August, 2023, in the Commerce Building. This should include both internal communication between University staff, and also external communication.
I understand that the OIA requires you to make a decision regarding this request as soon as possible within 20 working days.
Yours faithfully,
John Miller

Tēnā koe John
I refer to your information request dated 10 August 2023 made under the
Official Information Act 1982 (the Act).
Your request in its current form is very broad and we are likely to either
propose a charge or decline your request on the basis of section 18(f) of
the Act as it will require extensive staff time to research and collate
the information. Given the size of the University, it would not be
practically possible for us to ask all of our staff to search their
records for communications within scope of your request.
If you are agreeable, we could seek to collate and assess all emails sent
to and from the Vice-Chancellor, Chief Operating Officer, and Proctor. We
believe that these staff are most likely to hold correspondence within
scope of your request. Would this suffice?
Please confirm whether you are agreeable to limit the scope of your
request as suggested above. We will wait to hear back from you before we
continue to process your request.
Ngā mihi

Dear UoO - Official Information Act,
Thanks for getting back to me for clarification.
I am happy for the search to be limited to the staff most likely to hold correspondence within
scope of my request. If I could expand your list slightly, I believe the Chancellor, Vice-Chancellor, Proctor, Deputy Proctor, and Campus Cop (if he holds a university email address), would be the most appropriate members of staff to collate emails from.
Yours sincerely,
John Miller

Thank you for your reply. We acknowledge receipt of your clarified Official Information Act request. Thank you for clarifying and limiting the scope of your request to specific staff members in order to make it more manageable.
We will continue to process your clarified request, noting, however, that the Campus Cop is not a member of University staff and does not have a University email address. If we have any other questions or need to seek further clarification on any points we will be in touch soon. Otherwise, we will seek to respond to your request as soon as practicable and no later than 20 working days after the date your request was clarified (by 19 September 2023). If we are unable to respond to your request by then, we will notify you of an extension of this timeframe.
Ngā mihi
