I would like to get all internal correspondence since 1st of Jan 2025 that mentions or implies that the Mayor has forgotten details of previous briefings.

Based on these two statements from the Mayor, it is obvious there is at least one case of this.

Hi Hermant,

 

Thank you for your request for information.

 

We have considered your request for information, and we are unable to
grant your request in its current form because the information requested
will require substantial collation and research as as we
cannot clearly determine the information that is being requested. 

 

In order to identify any email that mentions or implies that the Mayor has
forgotten details of previous briefings, we would have to go though all
correspondence sent or received by the Mayor
as well as correspondence exchanged with anyone within or outside Auckland
Council since January 1, 2025.

 

We would need to run an ICT search to look for the emails. We have seen in
our experience of conducting these searches that even the most
well-defined search will include results that are not relevant to the
search, but because a particular combination of key words happened to be
contained in a set of documents that have nothing to do with the search in
question, these will nevertheless be presented. It is therefore essential
that we manually review the results returned by the tool to establish
whether or not they are relevant.

 

I wonder if you could consider ways to refine this search to reduce the
administrative burden but still provide you with useful information. Some
ideas I have had include –

 

·               searching only for emails from or to one or two named
individuals

·               providing a key word to search on – if you could think
about this one, based on what you are looking for, is there are word or
phrase that we could search for?

 

Please consider ways to narrow down your request, otherwise it is likely
that it will be refused under section 17(f) of the LGOIMA as the request
involves substantial collation or research.

 

Please get back to me by Tuesday 22 April if you wish to refine it.
