Under the provisions of the Official Information Act 1982, I am writing to request access to the meeting notes, in either digital or hard copy format, from meetings held on December 12, 2024, and December 19, 2024. This includes any discussions, decisions, and actions that were documented during these meetings by you, your office staff, including political and departmental staff.
If any part of my request is unclear or if additional clarification is needed, please do not hesitate to contact me.

Thank you for contacting the Hon Mark Mitchell, Minister for Police,
Corrections, Emergency Management and Recovery and MP for
Whangaparâoa. The Minister considers all correspondence important and

5. If your email falls outside of the Minister’s portfolio
responsibilities, expresses a personal view, or is copied to multiple
Members of Parliament, then your opinion will be noted and your
correspondence may be transferred to another office, or there may be
no further response to you.
6. If your correspondence is to the Minister as an MP for Whangaparaoa,
this will be referred to his electorate office.

Dear Mark Mitchell (MIN),
I hope this message finds you well. I am writing to express my concern regarding your blanket refusal to release information in response to my Official Information Act (OIA) request. This approach appears to be inconsistent with the provisions of the Act and the guidance provided by the Ombudsman.
As outlined in the Ombudsman's guidance, information should be released wherever possible, with only the specific portions that are legally allowed to be withheld redacted. A blanket refusal undermines the principles of transparency and accountability that the OIA is designed to uphold.
I kindly urge you to reconsider your decision and provide the requested information with appropriate redactions, as necessary, to comply with the Act.

I am responding to your email on behalf of Hon Mark Mitchell.
Following guidance provided by the Ombudsman, our Office did a scoping
exercise to identify what material was in scope of your request. After
identifying and locating the material in scope, our Office conducted a
public interest test and determined that the material in scope was
withheld under 9(2)(g)(i) of the OIA. In order to maintain the effective
conduct of public affairs through the free and frank expression of
opinions by or between or to Ministers of the Crown or members of an
organisation or officers and employees of any public service agency or
organisation in the course of their duty.
The Minister did receive information to support his meetings held on 12
and 19 December, our Office determined that this was originally out of
scope of your request as the information wasn’t classed as ‘meeting
notes’. If you wish to re-word you request to read as:
I am writing to request access to all information, in either digital or
hard copy format, from meetings held on December 12, 2024, and December
19, 2024. This includes any discussions, decisions, and actions that were
documented during these meetings by you, your office staff, including
political and departmental staff.
