Dear Plimmerton School,
I am writing to request, under the Official Information Act, full copies of all reviews that have been deleted or removed by the School from both Google Reviews and School Parrot platforms/websites.
Specifically, I request the following information:
Complete copies of all reviews that have been taken down, including the original content, date of posting, and the name or alias of the reviewer (if available).
Details of the reasons for the removal of each review.
Any correspondence or communications related to the removal of these reviews.
Please confirm receipt of this request and inform me of the timeframe within which I can expect the information to be provided. If any of the requested information cannot be provided, please supply a detailed reason as to why it is exempt from release under the Act.

Thank you for your Official Information Request dated 3rd September 2024.
You have requested:
* Complete copies of all reviews that have been taken down, including the original content, date of posting, and the name or alias of the reviewer (if available)

* Any correspondence or communications related to the removal of these reviews.
Your request for Official Information has been reviewed and subsequently
refused as per section Section 18 (e) & (g) of the Official Information
Act 1982.
[1]Section 18 - Refusal of requests (Official Information Act 1982)
“A request made in accordance with [2]section 12 may be refused only for 1
or more of the following reasons, namely:
(e) that the document alleged to contain the information requested does
not exist or, despite reasonable efforts to locate it, cannot be found:
(g) that the information requested is not held by the department or
venture or Minister of the Crown or organization”
To be clear, the reason for refusing your request under the Official
Information Act is that your request pertains to documents and information
not held by Plimmerton School.
Plimmerton School is not responsible for, nor does it keep records of
“Reviews” left on external websites such as Google or School Parrot.
Neither is Plimmerton School required to keep such information.
You should be aware that any member of the public can read a review on a
public website and “report” them as not adhering to the guidelines set out
by that organization, in this case Google or School Parrot.
Should any member of the public wish to report a “review” to Google they
are free to do so. Google will consider the reporting of the “review”
against its guidelines, and only Google can remove a review from its
website, not Plimmerton School as you suggest.
Google’s Review Reporting guidelines are as follows…
Off topic - A review doesn’t pertain to an experience at or with this
business.
Spam - Review is from a bot, a fake account, or contains ads and
promotions.
Conflict of interest - Review is from someone affiliated with business or
a competitor's business.
Profanity - Review contains swear words, has sexually explicit language,
or details graphic violence.
Bullying or Harassment - Review personally attacks a specific individual.
Discrimination or Hate speech - Review has harmful language about an
individual or group based on identity.
Personal Information - Review contains personal information, such as an
address or phone number.
Not helpful - Review doesn’t help people decide whether to go to this
place.
As you can see, there are a number of reasons why any member of the public
would wish to report a Google review.
School Parrot also has guidelines in respect to what can be reported by
any member of the public in regards to the reviews left on its website.
These are as follows…
* Bad Language
* Name mentioning
* Hateful or threatening content
* Harmful content
* Harassment or abuse
* Not credible
Just like Google, any member of the public reading a School Parrot
“review” can report it, it is then up to School Parrot to consider that
report and remove the “review” if it breaches the aforementioned
guidelines.
Plimmerton School can not remove reviews from School Parrot as you
suggest, only School Parrot can remove reviews from its own website.
In summary,
* Plimmerton School does not keep any records or documents regarding “reviews” left on public websites such as Google or School Parrot, nor is it required to.
* Any member of the public can report a review written on Google or School Parrot.
* Once it is reported, it is up to Google or School Parrot to remove a review from their website, and they will do so if it is found to breach their guidelines.
* Plimmerton School can therefore not give you the information you requested, and your insinuation that Plimmerton School is responsible for removing the reviews from Google and School Parrot is incorrect.

An Official information request also relates to any information held by an agency subject to the OIA or LGOIMA. This includes:
documents, reports, memoranda, letters, emails and drafts
non-written information, such as video or tape recordings
the reasons for any decisions that have been made about you
manuals that set out internal rules, principles, policies or guidelines for decision-making
agendas and minutes of meetings, including those not open to the public.
Official information also includes information which is known to an agency but has not yet been written down.
I am aware there of board information around the reviews which falls under my request.

Thanks, we know what information is required to be reviewed and provided
to you for an Official Information Act request.
As previously stated on 4th September when your request was reviewed all
relevant information was considered, and the decision was made to refuse
your Official Information Act request as per Section 18 (e)(g) of the
Official Information Act 1982, as the information you seek does not exist
with regards to the School or the Boards involvement in removing “reviews”
left on the Google and School Parrot websites.
I anticipate that this reply won’t satisfy your request, but please know
that we are not trying to be obstructive, we simply do not have
information related to your OIA request with which to provide you.

The reasons for any decisions made about these reviews.
Manuals that set out internal rules, principles, policies, or guidelines for review management.

Any information known to the School but not yet written down regarding the handling of these reviews.
Please confirm receipt of this request and provide me with a timeframe for when I can expect the information to be supplied. If any of the requested information cannot be provided, please provide a detailed explanation as to why it is exempt from release under the Act.

* Email dated 14/06/2024 regarding an item to be added to the next
meeting agenda, being online reviews.
* A section of In Committee minutes dated 04/07/2024 regarding a
discussion held about online reviews.
* A document tabled during an In Committee meeting held on 04/07/2024,
being a Timeline of online reviews.
* Emails dated 12/09/2024 regarding an anonymous board letter, being the
board's response to an open letter posted as an online review.
* Email dated 01/10/2024 regarding setting up a basic School Parrot
account.
* Email dated 03/10/2024 regarding my personal feedback to School Parrot
about their review removal process.
To the best of my knowledge, and that of the Board Chair, this is all the
information held by the School related to online reviews either on Google
Reviews or the School Parrot platforms.
