Public meeting minutes of school board
Mr Lowe made this Official Information request to Naenae College
Response to this request is long overdue. By law Naenae College should have responded by now (details and exceptions). The requester can complain to the Ombudsman.
From: Mr Lowe
Dear Naenae College,
I hope this letter finds you well. I am writing to request access to certain information under the provisions of the Local Government Official Information and Meetings Act 1987 (LGOIMA).
Specifically, I am seeking copies of the minutes and agendas of the last 24 school board meetings held at Naenae College. This information is of public interest and I believe it will contribute to a better understanding of the governance and decision-making processes within the school.
I request that the information be provided in electronic format.
I understand that, under the LGOIMA, you are required to respond to my request as soon as reasonably practicable and no later than 20 working days from the date of receipt.
If any part of my request is to be declined, I request that you provide reasons for the refusal as stipulated by the Act.
Should you require any further clarification or details to process this request, please do not hesitate to reply.
Thank you for your prompt attention to this matter. I look forward to your response.
Yours sincerely,
Mr Lowe

I appreciate your swift response to my request filed under the Local Government Official Information and Meetings Act 1987 (LGMOA). However, upon reviewing the documents you supplied, I have identified certain discrepancies that require attention.
Specifically, I observed that agendas were omitted for the following meetings:
-23/09/2021
-28/10/2021
-24/02/2022
-25/08/2022
However, I noted that the document titled with meeting minutes for the 19/06/2023 meeting was, in fact, an agenda and not the corresponding minutes. Could you please provide the accurate minutes for this meeting?
No meeting documents have provided for the month 05/2023. Why is this?
Furthermore, I observed that several documents are marked as 'Unconfirmed' or 'Draft' and remain unsigned. I am curious as to why final copies have not been supplied. To ensure accuracy and completeness, is it possible to provide the finalised versions of these documents?
I appreciate your attention to these matters and request that you promptly rectify the mentioned issues.

Re: Official Information Act Request - Public meeting minutes of school
board
Thank you for your email and your OIA request. OIA requests are as the
name suggests 'official information requests'. I know that
the [1]FYI.org.nz website allows users to submit requests using a
pseudonym. I have emailed them to seek clarification and they do not
require someone using their services to authenticate their identity. I am
not comfortable with the pseudonymous nature of your correspondence, as I
believe the intent of an OIA is to seek that which is public knowledge. As
your request has been submitted using an autonym name and email address I
am obliged to respond accordingly.
For that reason, I am not able to fulfil your request.

Dear Naenae College,
This request is made under the Local Government Official Information and Meetings Act 1987 and not the Official Information Act 1982, because these are meeting minutes.
Section 10(1) of the Local Government Official Information and Meetings Act 1987, states "Any person may request any local authority to make available to that person any specified official information." Anyone can make a request under this act - you are referring to the OIA which has specific eligibility requirements.
Yours sincerely,
Mr Lowe
